At the direction of the Construction Manager, the Operations Specialist reviews and purchases required trade labor and materials; schedules trade labor in completion of service calls and project tasks; and ensure compliance with all licensures, inspections, permits, insurances and documentation. At the direction of the Program Manager, the Operations Specialist provides billing, collection, purchasing, document management and office manager duties, and acts as liaison with the Finance Department o manage and oversee all department accounting processes and activities, ensuring compliance with accounting processes and all relevant governing laws and regulations.
Education and Experience
High school diploma or GED required. Secondary education in related field preferred.
Two years experience in Collections; Five years experience in customer care in any professional field; Five years experience in Accounts Payable/Receivable.
Demonstrated ability to work with a wide range of internal and external customers from diverse backgrounds and industries; Excellent communication skills in written and spoken language; demonstrated ability with ACCESS databases or construction accounting systems; demonstrated ability tow work in fast paced environment and adapt to changing work conditions; effective organization skills including: ability to manage filing systems, proofread contracts and documents and perform data entry; ability to prioritize and manage multiple tasks simultaneously; good computer skills; ability to handle customer and vendor phone inquiries; detail oriented with the ability to work independently of supervision in a logical and organized manner; ability to function effectively in non-accessible project sites and to travel to off-site locations; must be able to maintain job-related competencies by attending departmental staff meetings, and agency and departmental training programs; ability to attend and complete position-specific external course requirements, as needed.
